Member Management
As an admin or treasurer, you can manage scheme members, invite new people, change roles, and handle member lifecycle events. This guide covers all member management features.
Admins have full member management access. Treasurers can view members and invite new ones, but cannot change roles or remove members.
Accessing Member Management
- Navigate to Your Scheme
Go to your scheme dashboard - Click Members Tab
Or click "View All Members" from the dashboard preview
Member List Overview
Information Displayed
- Member ID – Auto-assigned (e.g.,
ZET123456-001) - Name – First and last name
- Email – Contact email
- Mobile – Masked for privacy (
***1234) - Role – Member, Treasurer, or Admin
- Status – Active, Suspended, Exited, or Pending
- Balance/Units – Depending on scheme type
- Joined Date – When they became a member
- Actions – Dropdown menu with management options
Filters and Search
- By Role: All, Member, Treasurer, Admin
- By Status: All, Active, Suspended, Exited, Pending
- Search: By name, email, or Member ID
Sort Options
- By Member ID (ascending/descending)
- By Name (A-Z, Z-A)
- By Balance/Units (high to low, low to high)
- By Join Date (newest first, oldest first)
Inviting New Members
Single Invitation
- Click Invite Button
Located in the header or member list - Choose Single Mode
Select "Single" tab in the modal - Enter Details
Email (required), Role, First name (optional), Last name (optional) - Send Invitation
System sends email with a secure invitation link
Bulk Invitation
- Choose Bulk Mode
Select "Bulk" tab in the invite modal - Upload CSV or Paste Emails
Format: one email per line, or upload CSV with email column - Assign Role
All invitees get the same role (usually Member) - Send Invitations
System sends individual emails to all addresses
Members are assigned numbers in the order they join: #1, #2, #3, etc. The scheme creator is always Member #1. Member #0 is reserved for the Suspense Account (system use only).
Managing Existing Members
View Member Details
Click the actions menu (three dots) next to a member and select "View Details":
- Full contact information
- Transaction history
- Balance/unit details
- Dependants (burial societies)
- Join date and status
Edit Member Information
Admins can update:
- Name (first and last)
- Email address
- Mobile number
- Role (Admin only)
Cannot be changed:
- Member ID (auto-assigned, permanent)
- Member number (sequential, permanent)
- Join date
Change Member Role
- Select Change Role
From the member's actions menu - Choose New Role
Member, Treasurer, or Admin - Confirm Change
Action is logged in audit trail
Only admins can change member roles. Treasurers cannot promote or demote members.
Suspend a Member
Temporarily disable a member's access:
- Select Suspend
From the member's actions menu - Provide Reason
Required for audit trail - Confirm Suspension
Member cannot log in but balance is preserved
Effects of suspension:
- Member cannot log in to Zeturi
- Balance/units are preserved
- Still appears in member list (status: Suspended)
- Can be reactivated later
- Does not affect scheme totals
Remove a Member
Permanently remove a member from the scheme:
You cannot remove a member with a non-zero balance or units. Distribute or transfer their balance first.
- Ensure Zero Balance
Member must have no outstanding balance or units - Select Remove
From the member's actions menu - Confirm Removal
May require dual approval if enabled in settings - Member Marked as Exited
Status changes to "Exited", no longer active
Pending Invitations
View and manage invitations that haven't been accepted yet:
Pending Invitations Section
Shows:
- Email address invited
- Role assigned
- Who sent the invitation
- Date sent
- Status (Pending, Expired)
Actions Available
- Resend – Send a new invitation email (extends expiration)
- Cancel – Revoke the invitation
Invitation links typically expire after 7 days. Use the "Resend" option to send a fresh link with a new 7-day expiration.
Bulk Actions
Select Multiple Members
Use checkboxes to select multiple members, then:
- Export Selected – Download CSV of selected members
- Send Notification – Bulk email to selected members
- Bulk Role Change – Change role for all selected (Admin only)
Export Member Data
Export Options
- Export All – Full member list to CSV
- Export Selected – Only checked members
- Export Filtered – Based on current filters
CSV Includes
- Member ID
- Name
- Mobile (can be masked)
- Role
- Status
- Balance/Units
- Joined Date
Privacy Options
- Mask PII – Hide full emails and mobile numbers
- Include Sensitive Data – Requires special permission
All exports are logged in the audit trail, including who exported, when, and what data was included.
Best Practices
- Verify email addresses – Double-check before sending invitations
- Assign appropriate roles – Most members should be "Member" role
- Document suspensions – Always provide a clear reason
- Settle balances before removal – Distribute or transfer funds first
- Review pending invitations regularly – Resend or cancel expired ones
- Use bulk actions carefully – Double-check selections before applying
- Protect member privacy – Use PII masking when exporting
Common Issues
Cannot Remove Member
Cause: Member has non-zero balance
Fix: Record a distribution to bring balance to zero, then remove
Invitation Not Received
Cause: Email in spam or wrong address
Fix: Ask recipient to check spam, or resend to correct email
Cannot Change Role
Cause: You're a Treasurer, not Admin
Fix: Ask a scheme admin to change the role
