Stokvel Distributions
Distributions are how stokvel members receive their share of the collective pot. This guide explains how distributions work for both rotational and proportional stokvels.
Distribution Methods
Rotational Distribution
Members take turns receiving the full pot:
- Each member gets entire pot once per cycle
- Fair rotation managed automatically
- Predictable schedule
- Equal amounts for all members
Proportional Distribution
Members receive based on contributions:
- Distribution matches contribution percentage
- Flexible timing (not fixed schedule)
- Amounts vary by member
- Good for savings goals
Rotational works best when everyone contributes the same and wants predictable large payouts. Proportional works best when contributions vary or you're saving for a specific goal.
Rotational Distribution
How It Works
Example: 10 members × R500/month = R5 000 pot Month 1: Member A receives R5 000 Month 2: Member B receives R5 000 Month 3: Member C receives R5 000 ...continues until all 10 members have received Then cycle repeats.Rotation Queue
The system manages a fair queue:
- Members added to queue when they join
- Next-in-line shown on dashboard
- Automatic progression after each payout
- History of past recipients tracked
Processing Rotation Payout
- Check Next Recipient
Dashboard shows who's next in rotation - Verify Contributions
Ensure all members have contributed for the period - Click "Process Rotation"
Opens payout form - Confirm Amount
System calculates total pot automatically - Make Payment
Transfer funds to recipient's bank account - Mark as Paid
Record payment date in system - Queue Updates
Recipient moves to back of queue
Skipping a Turn
If a member needs to skip their turn:
- Member or admin can skip turn
- Member moves to back of queue
- Next person in line receives payout
- Skipped member gets turn later
Members who haven't contributed may be skipped automatically. Some schemes require full contributions before receiving payout. Check your scheme rules.
Proportional Distribution
How It Works
Example: Total pot: R10 000 Member A contributed: R5 000 (50%) Member B contributed: R3 000 (30%) Member C contributed: R2 000 (20%) Distribution: Member A receives: R5 000 (50%) Member B receives: R3 000 (30%) Member C receives: R2 000 (20%)Processing Proportional Distribution
- Navigate to Distributions
Click "Distributions" tab on dashboard - Click "Record Distribution"
Opens distribution form - Enter Total Amount
Amount to distribute to all members - Select Distribution Type
Choose "Proportional" (based on contributions) - Review Allocation
System shows how much each member receives - Confirm and Save
Distribution recorded, balances updated - Make Payments
Transfer funds to each member - Mark as Paid
Update payment status for each member
Partial Distributions
You can distribute part of the pot:
- Distribute 50% now, keep 50% for later
- Useful for maintaining reserves
- Members receive proportional share of distributed amount
Distribution Timing
Monthly Distributions
Most common for rotational stokvels:
- One member receives payout each month
- Predictable schedule
- Easy to plan around
Quarterly Distributions
Common for savings stokvels:
- Distribute every 3 months
- Larger amounts accumulated
- Less admin work
Annual Distributions
Popular for Christmas or year-end savings:
- Distribute once per year
- Large lump sum
- Good for major expenses
On-Demand Distributions
Flexible timing:
- Distribute when goal reached
- Emergency distributions possible
- Requires admin approval
Viewing Your Distributions
On Your Dashboard
See distribution information:
- Next Payout Date – When you'll receive (if rotational)
- Rotation Position – Your place in queue
- Expected Amount – Estimated payout
- Distribution History – Past payouts received
Distribution History
Navigate to Distributions tab to see:
- All distributions received
- Dates and amounts
- Distribution type
- Payment status
Distribution Rules
Contribution Requirements
Common rules schemes enforce:
- Must be up to date with contributions
- No arrears allowed before payout
- Minimum contribution period (e.g., 3 months)
- Catch-up payments required if behind
Emergency Distributions
Some schemes allow out-of-turn payouts:
- Medical emergencies
- Funeral expenses
- Urgent financial need
- Requires admin approval and member vote
Leaving the Stokvel
When a member leaves:
- Rotational: Best to leave after receiving turn
- Proportional: Receive balance when leaving
- May forfeit if leaving early (scheme rules)
- Notice period may apply
Admin Distribution Tools
Bulk Distributions
For proportional distributions to all members:
- One action distributes to everyone
- System calculates each member's share
- Export payment list for batch transfers
Distribution Reports
- Distribution history for all members
- Total distributed per period
- Outstanding payments
- Export to CSV or PDF
Payment Tracking
- Mark distributions as paid
- Track payment dates
- Send payment confirmations
- Follow up on unpaid distributions
Best Practices
- Consistent timing – Distribute on same date each period
- Clear communication – Notify members before distributions
- Verify contributions – Ensure all paid before distributing
- Keep reserves – Don't distribute 100% (keep buffer)
- Document everything – Record all distributions
- Fair rotation – Don't favor certain members
- Timely payments – Pay out promptly after recording
Common Issues
Member Hasn't Contributed
Solution: Skip their turn or reduce payout proportionally
Not Enough Cash for Payout
Solution: Collect outstanding contributions first or delay distribution
Member Disputes Amount
Solution: Show contribution history and calculation breakdown
Wrong Person Received Payout
Solution: Record reversal, correct rotation queue, process correct payout
